How we set it up
Set up customer messaging
and follow-up.
Connect supported social media accounts, email inboxes, and website inquiries. Configure how messages are received, assigned, and followed up, then check that you or your team can run the setup.
Review your channels
Find where inquiries arrive and get missed.
Review your social media business accounts, email inboxes, and website forms. Trace missed messages, duplicate replies, and the steps between an inquiry and a booking, quote, or support response.
Your part
Tell us which workflows matter and who owns each account. Agree the channels, priorities, and acceptable tool costs.
What you receiveA scoped plan naming the accounts, workflows, and required connections.
Connect and organize messages
Set up the inboxes, rules, and follow-ups.
Configure supported channel connections, shared inbox views, assignments, labels, and useful reply templates or reminders. Record which actions must stay in the original app and how requests reach the next agreed task.
Your part
Provide delegated access and approve who can read, reply, or make commitments. Confirm any new provider costs before setup.
What you receiveConfigured messaging workflows and documented permissions and rules.
Check delivery and replies
Test the message path on your actual devices.
Receive and reply on each agreed channel. Check notifications, assignment, and available history. Test unassigned requests and failed connections, including reply limits or manual steps.
Your part
Review the results with us and try the everyday tasks. Agree corrections and confirm the fallback for each remaining limitation.
What you receiveRecorded message-delivery checks and instructions for exceptions.
Put the setup into use
Show you how to run and change it.
Walk through the inbox views, replies, and follow-up routine. Document account ownership, connection renewal, configuration changes, and how to stop an automation for manual handling.
Your part
Name who handles inquiries and when they check for new work. Decide whether you want separately scoped maintenance.
What you receiveOperating instructions and a handoff you or your team can use.
Configured request workflows for the agreed channels, with named responsibilities, recorded checks, and instructions for running them.
You or your team handle customer replies. Publishing campaigns, staffing responses, and ongoing support are separate scopes.
Scope
What we can work on.
An engagement can cover several related tasks and workflows. Bring the whole problem; the proposal names the included work, connections, and completion checks.
Bring the customer conversations you want to organize: social media DMs, shared email inboxes, and website inquiries. Supported business accounts may include Instagram, Messenger, or WhatsApp; we check the actual accounts and tool support before promising a connection.
We can configure a platform’s built-in inbox or a shared helpdesk, connect supported channels, organize outstanding messages, assign responsibility, and set up useful reply templates or reminders. Some actions may need to stay in the original app.
Related workflows can share an engagement. We name the channels, account access, message types, connected systems, and operating costs in the proposal. Booking, quote preparation, or support handoffs can be included where their connections and completion checks are agreed.
A first scope can include
- Agreed social media, email, and website inquiry workflows
- Supported channel connections, shared views, assignment, and follow-up rules
- Message-delivery checks, exception instructions, and an operating handoff
Outside this starting scope
Staffing replies, publishing campaigns, and autonomous customer commitments are not included. Additional channels and ongoing support need an agreed scope.
Your part
What we need from you.
- Your social media business accounts, email addresses, website forms, and any existing helpdesk
- Redacted screenshots or examples of missed messages, duplicate replies, or difficult follow-ups
- The account owner and the people who handle replies or approve customer commitments
Start with public or redacted information. We agree any private-data transfer or delegated access before it is needed.
Access and data handlingReview & handoff
How you check the result.
- Receive and reply to test messages through every agreed channel, using the phones or computers used for daily work.
- Assign and transfer a request; check notifications and the conversation history available in the chosen tools.
- Try an unassigned message and a failed connection. Confirm reply restrictions and the manual fallback.
