Document workflows

Prepare, extract, and check business documents.

Turn approved form responses, spreadsheet records, or incoming files into prepared documents and checked records, with review where it is needed.

Discuss your workflows

From a repeated task to a working fixture.

Illustrative workflow

An order comes in.
One detail doesn’t.

The file has a reference and a quantity, but no delivery date. Here is one way a scoped workflow could handle it.

Source retained with its record

Example only. Fields and rules are agreed for your documents.
  1. Read the useful parts

Extract the agreed fields and keep a link to the source. Unreadable files need an exception route too.

  2. Stop for the missing date

Flag the missing field for review. A blank is not an invitation to invent an answer.

  3. Make the next handoff explicit

Once approved, write or export the record to the agreed destination. Keep enough history to understand what happened.

Where it helps

What should happen
to the next document?

These are possible starting points. An engagement can connect them across the agreed documents and workflows.

Generate documents

Use approved form responses, spreadsheet records, or other agreed data with a template to prepare documents for review.

Approved data + document templateA prepared proposal

Prepare proposals from the details already collected in a form or spreadsheet.

Extract useful fields

Read agreed fields from incoming files and put them into a record your tools can use.

Incoming order documentsAn order record for review

Collect order references, quantities, and delivery dates without retyping each file.

Check before it moves on

Check required fields and agreed rules, with exceptions sent to a person for review.

A document or extracted recordA result with flagged exceptions

Catch a missing delivery date before the record reaches the next system.

Agreed scope

Related workflows.
Defined scope.

An engagement can cover several related tasks and workflows. Bring the whole problem; the proposal names the included work, connections, and completion checks.

Start with the information you already collect: form responses, spreadsheet rows, or incoming documents. We agree which fields to use, what should be produced, and who reviews exceptions.

Prepare documents from approved templates, extract fields from files, or validate records before they move to another tool. Structured data can stay structured; a PDF is only useful when the next task needs one.

Related workflows can be scoped together, including named storage, export, or signing-tool connections. Your advisers approve legal, tax, and accounting content. We implement the agreed preparation and checks.

What the agreed work can include

  • A template, extraction step, or validation rules for the chosen documents
  • The agreed connections, review points, and exception handling
  • Representative test files, checks, and instructions for running it again
  • Filing, access, and export arrangements for the resulting records

Outside this starting scope

Drafting legal or accounting advice and digitizing an entire archive need separate consideration.

Ongoing operation and maintenance need explicit coverage. No universal document accuracy or unattended approval is promised.

Bring the problem

Start with a safe example.

  • A redacted document, form, or spreadsheet example and the result you want
  • The tools used to collect, prepare, store, and sign the material
  • Who approves content, reviews exceptions, and decides access and retention

Keep credentials and confidential records out of the first message. We agree private-data transfer or delegated access before it is needed.

Access and data handling

Review & handoff

Check more than the happy path.

  • Compare prepared documents or extracted records with the agreed source information.
  • Try missing fields, repeated submissions, and unreadable files; inspect the exception behavior.
  • Check access to both the source and output, then find the right version and export it.
  • Run the next agreed task using the operating instructions on the devices used for the work.
Delivery review and corrections

Agree the scope before the work.

We review fit, responsibilities, price, and capacity before confirming a start date. An inquiry does not book work or start a subscription.
