Illustrative scope
What this could look like.
Updates and backup checks keep being postponed. It is unclear which systems are covered, when a change can happen, or who records the result.
- Name the systems
- Agree tasks and windows
- Perform scheduled checks
- Record exceptions
The resultAn agreed maintenance schedule with named responsibilities, a monthly fee, and a record of completed work and decisions that need your attention.
Scope
What we can work on.
An engagement can cover several related tasks and workflows. Bring the whole problem; the proposal names the included work, connections, and completion checks.
Maintenance can cover named software, websites, and business-tool connections. Agree the tasks and frequency: updates, recovery checks, staff-access reviews, connection renewal, or checks on customer contact and booking links.
Record who owns each account, who receives renewal notices, and who pays the vendor. A scheduled check does not provide continuous monitoring or take over the customer replies that pass through the system.
You receive a monthly work record, exceptions, and decisions needing your attention. New features or systems need approval. Business-hours coverage and any response arrangements are explicit; emergency response needs a separately staffed arrangement.
A first scope can include
- A list of covered systems and tasks
- Update windows and recovery checks
- A monthly work record and exception process
Outside this starting scope
Submitting this request does not start a subscription. Emergency coverage needs a separate staffed arrangement.
Your part
What we need from you.
- The systems, accounts, and connections to cover, with their owners
- Current maintenance, vendor support, renewal, and backup arrangements
- Acceptable check/change windows and who approves additional work
Start with public or redacted information. We agree any private-data transfer or delegated access before it is needed.
Access and data handlingReview & handoff
How you check the result.
- Compare the monthly work record with the named tasks and frequencies.
- Review failures, access or renewal issues, and decisions needing approval.
- Confirm the next service period, vendor responsibilities, and supplied cancellation route.
